What we hold

About businesses we contact: the company name and number (from Companies House), a business email address published on the company's own website, the website address, and the page on it that mentions Royal Mail. If you reply, we also keep your email and what you send us, such as a Click & Drop export.

Why we hold it

To contact limited companies about a service relevant to them. The legal basis is legitimate interests under UK GDPR. The Privacy and Electronic Communications Regulations (PECR) allow this kind of business-to-business email to corporate subscribers, provided every email names us and offers a way to opt out.

If you send us a Click & Drop export, we use it only to prepare and file your Royal Mail claims.

How to opt out

Reply "unsubscribe" to any email, or write to biswa@delphi-commerce.co.uk. We stop at once and never contact that address or its domain again.

How long we keep it

Contact details: until the campaign ends or you opt out, whichever comes first. We keep a minimal record of opted-out addresses and domains for good, so that we never contact them again. Claim files: for six years, as accounting records.

Who we share it with

Royal Mail, only when we file claims for you. Our email provider (Google Workspace) processes messages for us, which may involve transfers outside the UK under Google's standard data protection terms. We don't sell or rent data.

Your rights

You have the right to object to direct marketing at any time, and we will stop straight away. You can also ask for a copy of what we hold, and ask us to correct it, delete it or stop using it. If you're unhappy with how we handle it, you can complain to the Information Commissioner's Office at ico.org.uk.
